KEEP CONVERSATIONS AND COMMITMENTS CONNECTED
Email and Apple Calendar connections for your advisor workflow
Travel planning involves more than the next email. A reply may change a family's priorities, a consultation needs a place on the calendar, and a deadline needs to remain attached to the right trip. Itinistry supports email and Apple Calendar connections so advisors can keep approved conversations and their schedule connected to the work already in the CRM.
The short answer
Email and Apple Calendar connections support two specific workflows: an authorized, supported mailbox for approved client email and matched reply synchronization, and a private updating calendar subscription for an advisor's schedule. Email compatibility and authorization must be confirmed during setup. Apple Calendar reads the feed on its own refresh schedule; edits in Apple Calendar do not write back into Itinistry.
Keep the context close to the next action
A conversation is useful when the advisor can find the client, the trip and the next step together. A calendar is useful when it reflects the advisor's actual commitments. These connections support that context while preserving explicit email approvals and a private calendar link.
Itinistry tools for this workflow
Approved client emails through your connected mailbox
Authorize a supported mailbox that matches the advisor profile and complete activation. Approved planning emails can use that mailbox. Connection and reply-sync status help identify when the workflow needs attention before another message is sent.
Matched replies attached to the CRM
Recent mail is synchronized when it can be matched to a single assigned CRM client. Unrelated mail is not saved, and an ambiguous match needs review. The connection does not turn the entire inbox into a shared agency archive.
A private Apple Calendar subscription
Create a private feed for your advisor schedule, including supported appointments, milestones and deadlines. Generic event descriptions are the default; including saved titles is an explicit privacy choice. Replacing or revoking a link stops future access through that link.
Clear update and direction boundaries
A calendar subscription refreshes when the calendar application fetches it. It is a one-way view of Itinistry events. Email authorization can expire or be revoked and may require reconnection. A connection does not authorize an unreviewed client message.
How advisors use this workflow
1. Check mailbox compatibility and identity
Use your advisor profile email and confirm supported mailbox access during connection setup. Authorize your own mailbox and complete the activation checks before relying on sending or reply synchronization.
2. Review the conversation and message
Keep the client and trip context in view, review the draft and approve the specific message. If the reply-sync or connection state needs attention, resolve it before continuing.
3. Create a private calendar feed
Review whether event titles should be included, confirm the privacy choice, and subscribe in Apple Calendar. Keep the feed link private because possession of the active link provides access to its calendar content.
4. Manage changes in the source workspace
Edit or cancel supported events in Itinistry and allow the calendar app to refresh. Revoke or replace the subscription if the link is exposed or if access is no longer needed.
Who benefits
- Advisors who want client replies attached to CRM context
- Apple Calendar users organizing consultations and travel deadlines
- Agencies that need mailbox identity and access controls
- Teams keeping internal calendar details private by default
Questions travel advisors ask
Can I connect every email provider?
Do not assume universal provider support. Email requires a compatible, authorized mailbox and completed setup. Ask for a walkthrough if you need to confirm your agency's provider.
Is Apple Calendar synchronization two-way?
No. Apple Calendar subscribes to a private updating feed. Edits made in Apple Calendar do not change the underlying Itinistry records, and refresh timing depends on the calendar application.
Will connecting email send anything automatically?
Connecting or refreshing the mailbox is not a message approval. Client email follows the applicable review and approval workflow.
